6. IDEATION AND APPLICATION DESIGN

6.1 Brainstorming

Brainstorming is the best practice to bring forth ideas. It helps to make connections be-tween ideas and topics. It helps to organize thoughts and also helps to create a design [44]. Broad design Ideas emerged during the affinity diagram creation and analysis of physical and cultural models. Main Design goals were created based on collected data.

Main design goals:

 Increase social interaction between the people in the same working environment o Interviews data shows that interviewees find it difficult to make new Finnish friends in Finland. Culture difference and language barrier are one of the main concerns. So the proposed design should bring them physically and digitally closer to each other.

 Easy and fun to use & Draw the attention of people

o CI data is showing, most of the time user visit café to spend time with his friends or to do office project work. They only pay attention to other things we something interesting or unusual is happening.

 Encourage employees to share business ideas within the company

o Users’ are interested, if their professional skill is shown to all. And they want to be part of the relevant team and at the same time, they want to help any other team inside a company. Because it will increase their bonding with other teammates and it will polish their skills as well. It will be good to highlight themselves in front of top management.

 Strengthening the friendship bond between colleagues

o There should be something common which bring them close to each other, physically or digitally. Employees of the company express their opinion if this system helps us to find a colleague from another depart-ment who has the same hobbies as I have. Then I would love to talk to him/her.

 Privacy of personal activities should be a concerned

o During interview participants concerned about personal and work life.

For example, one user said, If we talk about our professional skills, everyone would love to advertise it. I love that more people know me.

But I will hide my personal activates. Like what I am doing what I like etc. I do not want to expose myself

 Professionals skilled should be highlighted to the whole working network.

o As mentioned before, users are willing to share their professional data to the whole company. CI feedback, From professional details, I would like to share (previous workplace, qualification, colleagues, skills or ex-perience, hobbies)

 Motivates employees to participate in extracurricular activities

o Users’ are willing to do fun games with their friends or colleague. Pro-posed should have entertaining options, where everyone can partici-pate.

The design process started with a brainstorming session, where multiple sitting held with the supervisor. For the Ideation process, the 8x8 method was used [45]. This method was most suitable due to project needs and background knowledge. All ideas were based on design goals and company culture. Few of them were very interesting, but those were not feasible due to office culture. Few ideas were entertainer for the employ-ee's, but from the company's goals point of view, those were less productive. The bal-ance between employees and the company's needs were ensured.

In 8x8 method, we centred the main goal and then we try to find out what is possible supporting components which will lead to the main goal. In the office, we can have team events which bring colleague together, video game completion also an attractive activity for colleagues. Music or DJ booth is also attraction points. Digital wall for news, funny facts or upcoming events. Or any learning course to enhance users’ skills. These facts lead to increase interaction.

Affinity data is showing that most of the users are well aware of technology, like using Laptops or smartphones. Ideas need to be related to smart technologies. After detailed analysis. The final idea that comes to my mind was to use a big touch screen that could be placed in office premises. In the cafeteria, restaurant, entrance, kitchen, all over.

Where employees get together. But not inside the working area or meeting rooms, be-cause it could distract them from the work. The big screen is suitable for an office envi-ronment because it can be placed horizontally, in the office entrance and café or restau-rant. According to Lars [15] research, more and more companies are moving toward the usage of the big screen. These screens have a high-resolution display, cheap in price and easy to marinate content on these devices. These screens can be used for multi-purposes, for example for playing video games, watch sports together or presentation for learning purpose. It can easily be implemented in offices and it can efficiently connect all users’ inside the company.

Now the question arises, how a big screen can attract the attention of the employees to bring them closer? The Proposed system will have two main features. One for a big screen and second for mobile phone. Based on user requirements. We split it into two parts. Professional skills or public data will be visible on the big screen. For those users who want to hide their personal information, like personal activities, or private messaging, for them, smartphone application will be used.

Big Screen Interfaces A big screen will have two types of interfaces. One for the visitor and 2nd employee.

Visitors The screen will be displayed at the entrance. Where basic and general data will be visible. If visitors have an appointment. They can search that concerned person from the search screen and send a short message that "I am at the entrance please pick me".

Or they can see weather updates, office departments map, restaurant menu, or bus tim-ing from office stop.

Feature for visitors:

 Access to employees basic information

o Name, Job title, Desk phone number, and room number

 Predefine Limited messaging

 Departments and Offices maps

 Weather forecast

 Calendar

 Buses schedule

Employees: The second interface will be for employees. It will be only for authorized users. Where they have to install a mobile app from the app store. Via QR code they will link their smartphone with a big screen. Using professional social media e.g. LinkedIn.

This system will collect their personal information like the friends' contact list, educational background, skills, interest, and hobbies. This system will add this information into the company database. Whenever this event, this system will send a notification to all user based on their interest. I will link between people who have the same interest and it will encourage them to join those events. It will be a ticket to talk to those employees. Who are seeing each other daily bases, but they are not frank to start a conversation.

Feature for Employees:

 Credential required. Due to data security.

 Access to personal data, Name, age, qualification, hobbies, skills, activities

 Private messaging

 Mutual interest, friends list

 Company or private events notifications

 Wall for posting projects for participation, help or ideas discussion
